Abstract: MEDITECH provides updates to all platforms of their product. How do you survive an update? We are a 25‐bed
critical access hospital with limited resources to complete such a massive undertaking; but we have found a way to make it
happen. A dedicated team of module specialists attend meetings; utilize software to filter the DTS’s better; perform DTS
testing; and perform a parallel run before the Go LIVE date. We have many lessons learned and room for improvement. The
purpose of this presentation is to share our experience with MEDITECH updates.

Abstract: Arkansas Children’s Hospital is a migration site from MEDITECH MAGIC® 5.6 to Client Server 6.0. Go LIVE was
achieved on September 1, 2010. This presentation will cover our journey from Pre-Implementation through Go LIVE and life
since then. There are currently many more hospitals in the midst of implementation than there are hospitals that are LIVE. If
you are one of these sites, or just considering CS 6.0, come learn what ACH did right and also hear some of the surprises we
encountered, despite all of our preparation and testing.

does more than just track service issues and DTS's!
If you’re making the move to Meditech 6.X any time soon, you may be aware of the project management challenges that await
you. As your migration is not an ordinary upgrade you might need an
extraordinary tool. There are indeed a variety of
applications currently being used to manage a variety of project management related issues.
The problem persists,
however, because each solution only addresses one aspect of the migration, and conversion teams are left trying to
maintain control of the project using multiple overlapping tools.
There hasn’t been a single software application that was
capable of bringing all aspects to the project together,
until now.

With help from our friends at
Arkansas Children’s Hospital, who went LIVE with 6.0 in September, 2010 and are now
moving onto the next level, we are shaping
StreamTask+ to be that tool.  The Team installed StreamTask+ in 2010 to help
them get control of the DTS and Validation Guide documentation that began arriving as soon as they started receiving
Priority Packs. While
StreamTask+ achieved its stated objectives, they were quick to realize they now had yet another
project management tool, another place to go to find out where they were.

Cinnamon Mathews and her team sat down with Dave Henshaw (Array) and counted all of the tools they were using:
  • Meditech’s Project Plans,
  • Spreadsheets to track user sign-off,
  • UPT for conversion issues,
  • their Help Desk tool to manage issues as they arose, and now
  • StreamTask+ to manage DTS and Testing Scenarios.

Too many tools! The only tool that had the flexibility to perhaps consolidate all of this information in one place was
StreamTask+. Together with Cinnamon, we looked a little deeper at both their needs and StreamTask+’s functionality, and
came up with a plan for adapting the tool to be the lone Project Management (PM) tool.

Because the system was designed as a task tracking application, it didn’t take long for the team to build supporting
dictionaries and shift their issues tracking process from the Help Desk to
StreamTask+ as the new dedicated 6.X project
tracking tool. Since the team’s next priority was eliminating cumbersome spreadsheets, we went to work to develop a new
StreamTask+ feature that imports data from a spreadsheet. Now each row in the spreadsheet becomes an individual task
that can be accessed while other users are concurrently working on other tasks.

As we tackle the job of getting Project Plans from Meditech’s website into
StreamTask+, we are considering two options. One
would be to develop new conversion programs to download and convert directly from Meditech’s website, and the other
would be to encourage users to download the plans into Microsoft Project and then export them from there to a spreadsheet
where they can be imported using the new “Import a Spreadsheet” feature.

The last challenge to be addressed is a mechanism for downloading selected tasks from UPT that can be imported into
StreamTask+. As we investigate the technical challenges we will likely face the same dilemma as with the Project Plans: can
we download and convert tasks directly from UPT, or do we download them to a spreadsheet and import them using the
standard tool? We hope to have this challenge resolved by autumn, 2011.

We have long envisioned
StreamTask+ as the task/DTS tracking tool for our clients once they moved away from MAGIC®.  
We are now even more excited about helping our clients use the same tool to get them there.
TASK+ Tip
Attention TASK+/DTS+ customers!  If you are planning to use TASK+ to manage your 6.0 DTS’s, contact Array for a minor
patch to your application.  While the format is compatible with the DTS conversion programs, these DTS’s are identified with
FOC in the text (as opposed to MG or CS) which is not recognized in some versions of
TASK+.
Pat Sasur is spearheading the conversion of existing clients to Array Software’s
newest release of
TASK+ Version 8. Originally only intended to include features for
our
TRACK+ RAC and other insurance auditing module, we expanded the update to
include as many of the “wish list” items we received from our customers as we could.
We have finished beta-testing, and are now ready to release our latest version to all customers! Here is just a partial list of
the enhancements that are included in Version 8:
  • New menu-driven screen layouts within a task, allowing for ease in moving from one screen to the next, and back again
  • Background job interface and Dictionary audit trails – keeping track of dictionary changes by date/time and personnel
    making the changes
  • Change control from parameter/toolbox driven to dictionary prompts for the following:
  • Sign in banner message (User Access Group)
  • Seeing user requests and tasks assigned (User Access Group)
  • Title default (Task Type)
  • Time log prompt on any edit (Task Type)
  • “Sort Ranking” option added to Priority dictionary
  • Ability to default the change of the target date within the Status dictionary
  • Warning message added when using Batch Verbs, reminding users that the change will affect all checked tasks
  • New Process Verb functions for batch addition of canned texts to tasks
  • New Process Verb function CHG TYPE, allowing for the ability to batch-change the task type of tasks
  • Recurring tasks now show related tasks, to assist in identifying the master task associated with each recurring task
    generated
  • Related task field now displays task status
  • Ability to create a new User Access Group with the option of initializing it from an existing UAG
  • Ability to add a CDS to the Project Dictionary for purpose of storing additional information regarding the project

Items specific to the
DTS+ module:
  • For DTS+ customers migrating to Meditech Focus/6.X, a platform choice of “FOC” was added so that Focus DTS's
    could be converted into tasks in TASK+/DTS+.
  • For those users who pull in separate files for enhancements and corrections for each module, a new routine was
    added for rebuilding DTS task relationships
  • Additional prompt added to “Expunge” routines to allow exiting out of the process when the default of ALL was not the
    intent                  

Items specific to both the
RDM+ and TRACK+ modules:
  • Charge lookup within the worksheet now displays HCPCS/CPT codes and number of units
  • Ability to search for denied charges by “Charge Category”, “HCPCS/CPT”, “Charge Procedure” mnemonic, and
    “Department”, in addition to “Date” within the worksheet
  • Ability to look up by patient account, UCRN for “Enter/Edit”, “View”, and “Print a Task” options
  • New “Sort by Account Number” added to Resort options
  • Ability to create tasks via batch entry

For the
RDM+ module only:
  • The Appeal fields are no longer required when “Appealable” field equals “Yes”, allowing users to document an
    appealable denial without entering a start date and status until the appeal process actually begins.
  • RDM payer look up on the worksheet is now limited to only active insurances on the patient’s account
  • Ability to add “Other Assignees” to task via report option within the Remit mapping dictionary
  • New Process Verb function “CHG REM CAT” (Change Remit Category), providing the ability to “batch” change the
    remit category after the tasks have been created to record the proper remit category of the denials.

For the
TRACK+ module only:
  • Expanded screen layouts, allowing for capturing and tracking additional information, such as:
  • AHA denial reasons for reporting data to AHA
  • Demand and determination letter data now recorded separately
  • New field added to track both the original DRG and current DRG within the task
  • Recording of Take-back demanded in addition to actual Take-back
  • Audit Reference/control number associated with letter request
  • Audit insurance payments posted to the patient’s account as well as total payments

2.0 Makes its Debut!
The first quarter of 2011 saw the delivery of StreamTask+ (v2.0) to new and existing StreamTask sites.  
To promote and educate our customers, we have conducted a number of webcasts to review the
enhancements and discuss the upgrade process.  Highlights include:
  • task record redesign with tabs to minimize scrolling
  • improved custom field/region design
  • ability to convert Validation Guides into tasks

Many of the changes are geared toward supporting the use of StreamTask beyond the focused efforts of a Ring update.
Many of our customers also see opportunities for using
StreamTask+ for other projects and for general request/task
management.  A major initiative facing many of our customers is the upgrade/conversion to Meditech’s 6.0 environment.  We
are working with customers to better understand the task-tracking needs of this project and are developing, for example, the

is Now Helping McKesson Paragon Hospitals
After working almost exclusively with Meditech sites for the past 25 years, we are happy to report that we have forged
relationships with McKesson Paragon hospitals to configure
StreamTask+ to support the Paragon software update process. In
addition to using the tool to manage their Meaningful Use update, the staffs at Marin General Hospital (CA), Mary Lanning
Memorial Healthcare (NE) and Daviess Community Hospital (IN) are using
StreamTask+ to manage other implementations and
one is also using
StreamTask+ as their help desk solution.
